What it is

What is Pourmetrics SpotCheck?

A mobile app for hospitality venues — bars, hotels, restaurants — that lets staff run quick stock checks during shifts using their phone and a cheap Bluetooth kitchen scale. The app weighs open bottles, counts sealed cans and bottles, reconciles against POS sales, and surfaces shrinkage by SKU, location, and time period.

How is it different from a full stock-take system?

Stock-takes happen monthly and take hours. By the time the shrinkage shows up, the shift, the staffer, and the pattern are ancient history. SpotCheck is built for short, frequent checks (3 minutes per bar, twice a day) so you catch drift early and attribute it to a specific shift. It is not designed to replace full month-end inventory — it complements it.

Who is it for?

Independent bars, hotel bars, restaurant groups, and small hospitality chains in Ireland and the UK. Our typical customer has 1–5 venues, between 50 and 400 SKUs across spirits, beers, and mixers, and an owner/manager who wants visibility on shrinkage without hiring a stock-take agency.

Getting started

How long does setup take?

About 10–15 minutes for the first venue: sign up, create your venue, add locations (Main Bar, Stockroom, etc.), and tick the products you stock from our pre-built catalogue. You can start spot-checking immediately and add SKUs as you encounter them.

Do I need to add every product before starting?

No. We ship with a catalogue of common Irish and UK bar SKUs (Smirnoff, Jameson, Hendrick's, Guinness, etc.) — tick the ones you stock and scan-add anything missing during your first spot check. The catalogue grows as you scan barcodes that aren't yet recognised.

Can I try it before paying?

Yes. 14-day free trial on every plan, no card required. Full features, no limits during the trial. Pick a plan at the end to continue.

Hardware

What hardware do I need?

A smartphone (iPhone or Android) and a Bluetooth kitchen scale. That's it. Most of our customers buy a scale on Amazon for around €20.

Which scales work?

We recommend the Accuweight CK780BLE— about €25 on Amazon UK/IE, accurate to 1g up to 5kg, BLE-pairs natively with the app. We've also tested with smartLAB Kitchen W. If you already have a Bluetooth scale and want us to test compatibility, send the model number to info@pourmetrics.ie.

Do I have to buy the scale from you?

No — the scale is BYO (bring your own). We don't sell hardware. The subscription is software-only. Buy directly from Amazon or any supplier you prefer.

What if the scale connects to my phone but the app can't find it?

iOS and Android need Bluetooth permission for the app — accept the prompt at first launch. If you skipped it, enable it in your phone's Settings > Pourmetrics SpotCheck > Bluetooth. Some Android phones also need location permission for BLE scanning (Google's requirement, not ours).

My scale shows weird readings — what's wrong?

Your scale needs to be set to grams (g). Most Bluetooth kitchen scales have a UNIT or U button that toggles between g / lb:oz / fl:oz / ml. Press it until the display shows g.

If readings still look wrong after switching to grams, try removing the battery for 10 seconds to reset the scale, then re-pair it in the app.

Pricing & billing

How much does it cost?

Three plans:

  • Solo— €29/month — 1 bar location, unlimited stockrooms and users
  • Venue— €59/month — up to 5 bar locations in 1 venue
  • Multi— €149/month — up to 3 venues, unlimited bars each

Does the price include the scale?

No. The scale is BYO (around €20 on Amazon). Subscription is software-only.

Can I cancel anytime?

Yes — cancellation takes effect at the end of your current billing period. No pro-rata refunds for partially-used months, but you keep full access until the period ends.

Do you offer annual discounts?

Not via self-serve. For multi-venue groups (5+ venues) email info@pourmetrics.ie and we can put together annual terms.

Accuracy

How accurate are the readings?

For sealed cans and bottles, accuracy is exact — it's a count. For spirits weighed on the scale, typical accuracy is within 5–10ml per bottle when calibrated. We use bottle weight minus empty bottle weight, divided by density, to get remaining ml.

What if the empty bottle weight is wrong?

Each SKU has a stored empty bottle weight from our catalogue. Real bottles vary by a few grams, which can throw off readings on nearly-empty bottles. The fix is to calibrate once: when you finish a bottle, weigh the empty and tell the app. The next spot check uses the calibrated weight. Calibration is once per SKU per venue.

Does the app handle different pour sizes?

Yes. Each venue has a default pour size (35.5ml in Ireland, 25ml in the UK by convention). You can override per product (e.g. tequila at 25ml in an IE bar). The app calculates remaining shots using whichever pour applies to that SKU at that venue.

Integrations

Does it connect to my POS?

We support POS data via CSV upload. Export your sales for the shift from your POS (most POS systems support a CSV export), then upload it in the app — we match SKUs by name and compute expected vs actual pour. No live API integration with POS vendors yet.

Which POS systems work?

Any POS that can export a CSV of sales (product name, quantity, timestamp). We've tested with Square, Lightspeed, Toast, ICRTouch, and several smaller Irish systems. If you're unsure about yours, email us a sample export and we'll confirm.

Why no live POS API integration?

Each POS vendor has a different API (or no API at all), and building five separate integrations is a lot of complexity for modest accuracy gain — CSV upload covers 95% of the value. We may add direct integration for the most-requested POS vendors later once we have enough customer signal on which ones matter most.

Team & multi-venue

How many users can I have?

Unlimited on every plan. Invite as many staff as you like; we don't charge per-seat.

What roles are available?

Three: org admin (full access, manages billing and venues), venue manager (manages one venue, invites staff, runs reports), and bar staff (runs spot checks, can't see variance reports by default).

Can I hide variance from staff?

Yes. Per-venue toggle in venue settings — staff can run spot checks but won't see the variance numbers afterwards. Useful for venues where the manager wants to interpret variance before sharing.

Can I run multiple venues from one account?

Yes, on the Multi plan (up to 3 venues, unlimited bars each). For larger groups (5+ venues), email info@pourmetrics.ie to discuss enterprise terms.

Privacy & security

Where is my data stored?

EU data centres. We're an Irish-registered business (Prystine Systems Ltd t/a Pourmetrics Ireland) operating under Irish and EU law including GDPR. Full details in our privacy policy.

Do you sell my data?

No. We only share data with the sub-processors needed to run the service (authentication, payment processing, hosting) — listed in our privacy policy. We don't sell venue data to anyone for any purpose.

Can I export my data?

Yes — export venue and spot-check data as CSV at any time from the dashboard. If you cancel, you can export for 30 days afterwards. After that, data is archived and removed per the schedule in the privacy policy.
